The HC Activity Logger extension (“the Extension”) is developed and maintained by the Hart County Charter System for use exclusively on district-owned and district-managed Chromebooks. This Extension is designed to support school safety, digital citizenship enforcement, and Acceptable Use Policy compliance.

This Privacy Policy explains what data the Extension collects, how it is used, and how it is protected.

1. Information We Collect

The Extension collects only the minimum information necessary to provide its single function: recording activity on school-owned devices for administrative and safety purposes.

1.1 Browsing Activity

  • URLs of pages visited

  • Page titles

  • Timestamps of visits

  • Navigation type (standard navigation or single-page-application navigation)

  • Search terms extracted from supported search engines (Google, Bing, DuckDuckGo, YouTube)

1.2 Device Information (ChromeOS enterprise APIs)

Collected only on school-managed ChromeOS devices:

  • Device serial number

  • Asset ID / hostname (if configured in Google Admin Console)

  • Directory device ID

  • Local IPv4/IPv6 address and MAC address (network attributes)

1.3 Network Information

Collected only by the school’s logging server, not by the Extension itself:

  • Public IP address from which the log was transmitted

1.4 User Information

  • Signed-in Google Workspace email address (e.g., student@s.hart.k12.ga.us)

No passwords, authentication tokens, or sensitive profile data are collected.

2. How We Use the Information

The collected data is used exclusively for purposes that support school operations:

  • Investigating potential misuse of district technology

  • Reconstructing activity timelines for safety or disciplinary reviews

  • Verifying device checkout records in coordination with systems like Snipe-IT

  • Supporting compliance with district Acceptable Use Policies

  • Assisting administrators in identifying unauthorized account use

The Extension does not:

  • Modify, block, or alter user browsing

  • Perform content filtering

  • Provide advertising or marketing

  • Profile students for commercial purposes

3. Data Sharing

The Extension does not sell, rent, or transfer data to third parties.

Collected data is transmitted only to school-controlled servers under the authority of the Hart County Charter System. Access is limited to authorized district personnel with a legitimate educational or operational need.

No data is shared with advertisers, analytics companies, or external vendors.

4. Data Security

The district implements reasonable administrative, technical, and physical safeguards to protect collected data, including:

  • Secure transmission (HTTPS/TLS)

  • Role-based access controls

  • Logging and auditing of administrator access

  • Encryption of data at rest (when supported by backend infrastructure)

5. Data Retention

Browsing activity logs are retained only as long as needed to support investigations, compliance, or reporting requirements.
Retention periods are defined by district policy and may vary depending on the type of data collected.

6. Student Data & FERPA Compliance

Because the Extension collects data relating to student device usage, this information may be considered an education record under the Family Educational Rights and Privacy Act (FERPA).
The district treats this information with the same protections applied to other confidential student data.

7. Permissions Explanation

The Extension requires the following Chrome permissions solely to perform its single purpose:

  • webNavigation – detect navigation events

  • tabs – read page titles

  • storage – queue events for reliable delivery

  • alarms – retry failed transmissions

  • enterprise.networkingAttributes – obtain local network identifiers on managed ChromeOS devices

  • enterprise.deviceAttributes – obtain device serial/asset ID on managed ChromeOS devices

  • Host permissions – send logs to the district-controlled server; monitor URLs for navigation events

The Extension does not inject remote code or load external scripts.

8. Children’s Data

The Extension is used on student devices as part of the district’s educational technology program.
It does not collect unnecessary personal information and does not engage in commercial data use.
